Commercial heating maintenance checklist

A simple framework for building and facilities managers planning heating maintenance.

The exact maintenance schedule must be tailored to the equipment and site, but keeping accurate records and planning work before failures occur is valuable for almost every commercial heating installation.

1. Keep an equipment register

Record boiler, water-heater, pump and control make/model information, serial numbers where useful, installation dates and relevant documentation.

2. Track service dates

Use manufacturer requirements and applicable legal, insurance and site obligations to plan servicing rather than waiting for equipment to fail.

3. Record recurring faults

A history of lockouts, pressure loss, pump failures and other faults can reveal patterns and help determine when continued repair is no longer economical.

4. Inspect the wider plant

Boilers are only part of the system. Pumps, expansion equipment, valves, controls and hot-water plant can all affect reliability.

5. Plan for resilience

Consider what happens if a key appliance fails. Buildings with critical heating or hot-water requirements may benefit from plant configurations and maintenance strategies that provide redundancy.

6. Budget for replacement

Maintenance records can help identify ageing plant and allow capital replacement to be planned rather than undertaken as an emergency.
